Presence, Routines, and Technology Discrepancy – Information Exchange between Parents and Preschool Teachers

We have interviewed four parents and a teacher at a Swedish preschool to investigate the practices for spreading information in preschool. Our findings suggest that frequent presence in the premises of the preschool is important to get information, and that parents rely heavily on routines to make it work. When either of these points fail, breakdowns occur. Discrepancies in parents’ and teachers’ IT use also complicates the information exchange.
Introduction Family life and the elements of planning, coordination, and problem solving it encompasses have received a lot of attention in the HCI community in the recent years. Various studies have shed light on families organize their lives using various tools such as paper lists [11], home made organizing systems [10], and paper calendars [1], how they communicate and coordinate their information [3], and how this work could be supported by smart home systems [2]. This research has focused on the family as a unit and explored how family members communicate with each other, organize incoming information, and negotiate their everyday tasks. We add to this body of knowledge by looking at the information exchange between the family and an external unit, preschool. Families stay in contact with many external units such as schools, sports teams, authorities, doctors and the like. We have chosen preschool since it is a daily activity, involves different types of information in both directions, and breakdowns can have potentially cumbersome consequences such as a parent having to stay home from work unexpectedly.
The information exchange between parents and preschool teachers is frequent and important. Parents get a lot of practical information and information about their children’s development from preschool teachers. They also need to convey information about the children to the teachers. A large part of the information exchange takes place in the premises of preschool where parents talk to teachers, pick up paper notes, reads notes posted on notice boards etc. Some information is conveyed over the phone while email is used very little in the studied preschool. Parents then bring the information home and incorporate it in their own organizing system to keep track of what is going on.
We have investigated the practices for information exchange between teachers and parents at a Swedish preschool through interviews with four parents of preschool children, and a preschool teacher. Here we focus on the present handling of written information. Our findings suggest that the existing routines for keeping track of information rely heavily on presence (at home and in preschool) and that the information usually is non-portable. We also noted a discrepancy between the parents’ and the teachers’ use of information technology that seemed to influence the information exchange. We conclude the paper by presenting some implications for future design of information technology for family use.

Over the last years, many successful web 2.0 services have been launched, well received by the end users but many times struggling to reach break even and profit. Some made impressive exits based on future revenue potential and good timing.
The business is often based on an advertising model and follows a standard Internet approach. First launch a very compelling free service with potential to spread virally, with the primary target to attract many users and gain significant penetration.
In a second step, capitalise on the digital real estate by offering advertising space, premium services and sponsored links.
Several have succeeded in getting the service and distribution right, but a quite limited number have made real money as the costs quite often by far exceed the limited revenues per user. You can always hope for an exit, but eventually someone needs to make a profitable business out of the service.
In addition, operators are concerned by the increased IP traffic advocating more traditional telecom business models, reflected in the debate about net neutrality.
The rights issues are not obvious as technology is at least one step ahead of the legislation. The financial ecosystem surrounding these new services has not stabilised and matured fast enough to judge the sustainability of the models...

Squace Mobile Web Application Awarded Government Contract to Connect Day Care Administrators, Teachers and Parents
Squace, www.squace.com, creator of the free application that makes surfing, searching and sharing Internet content possible on ordinary mobile phones without typing, today announced it won a contract from Vinnova, the Swedish Governmental Agency for Innovation Systems, to use the mobile web to connect Stockholm day care administrators, teachers and families.

Eighteen day care centers in Stockholm serving approximately 300 children and their families will be brought on-line in September. During Phase I of the measured roll out, 60 teachers will use Squace's free mobile Web application to keep parents up to date. Parents will use Squace to get contact information for the families in their child's class, scheduling, and school news.
"Managing your child's ever-changing school schedule can be an exercise in controlled chaos," said Aage Reerslev, Squace founder and CEO. "Even though parents may be at a computer during much of their work day, the time that they need the school-related information most is when they're on the run -- when they're in the car or on the train. With Squace they now have fast and easy access to their child's class and school sites from their phones, any time, anywhere."
How Squace works
Squace is a free mobile phone application for people who rely on the Internet as their primary source for news, information and entertainment, and want real-time Web content anytime, anywhere -- not just when they're sitting at their computer. The free software features a uniquely phone-friendly interface that can be continually updated and personalized so the user is always able get to exactly what they want and care about most on the Web.
Squace divides the mobile phone's screen into a grid of small squares. Each square is linked in alphabetical order to a Web service or content provider such as a newsfeed, Web site, game or widget. Vinnova project
Under the Vinnova contract each class in the 18 Phase I centers received its own home page that can be managed from any PC. Day care center staffs have been tasked with populating the pages with useful information and content, such as contact details of all parents and teachers, a picture of each child, and scheduled activities for every day and week.
Invitations have been sent from the site directly to the mobile phone of every administrator, teacher and parent. Following easy to use instructions, users are now activating their Squace accounts to have access to the sites from their handsets.
"Parents and staff now have instant access to school calendars, any schedule changes, curriculum updates, after school care and activities, emergency information and much more right on their mobile phones," said Mehrdad Ghaffar, manager of the Nockby Day Care Center of Stockholm, the first school to test the Squace application in the Spring. "We're already seeing big benefits."
Funded by Vinnova, which is chartered to conduct Information Technology projects that enhance people's daily lives, the day care center project is being administered for the Stockholm municipality by a consortium comprising Squace, the 18 schools, and The Research Institute, part of the Swedish Institute of Computer Science, which was tasked with studying usage and the proliferation of the Squace mobile Web application.
